Quality Roof Co ("we", "us", "our") is committed to protecting your privacy. This policy explains how we collect, use, store and share your personal information, and what rights you have. We handle personal information in accordance with the Privacy Act 2020 and the Information Privacy Principles it contains.

This policy applies to our website, our contact and quote forms, and to the roofing services we provide across Auckland.

What information we collect

We only collect personal information that we need in order to quote for work, carry out work, and run our business. Depending on how you deal with us, this may include:

• Contact details — your first and last name, email address, phone number, and the address of the property the work relates to.
• Enquiry details — the information you give us through our assessment or quote form, including roof type, estimated roof age, preferred timeframe, and any project details you describe.
• Property and job information — notes, measurements, drone or handheld photographs and video of your roof and property, reports, quotes, variations and job records.
• Billing information — invoicing details, payment records and, where relevant, bank account details for refunds. We do not store full credit card numbers.
• Correspondence — emails, text messages, phone notes and other communications between you and our team.
• Website information — technical data such as your IP address, browser type, device type, referring page, and pages viewed. This is collected through cookies and analytics tools (see "Cookies and website analytics" below).

We do not deliberately collect sensitive information such as health or financial hardship details. If you volunteer it (for example, to explain access requirements or scheduling constraints), we will only use it for that purpose.

How we collect it

We collect personal information:

• directly from you, when you fill in a form on our website, call or text us, email us, or speak with our team on site;
• from your representatives, such as a property manager, body corporate, insurer, builder or family member acting on your behalf;
• automatically, when you use our website; and
• occasionally from publicly available sources, such as council property records or the LINZ register, where we need to confirm property details.

Where practical, we collect information directly from you. If someone else provides us your details, we will use them only for the purpose they were given.

Why we use your information

We use personal information to:

• respond to your enquiry and arrange a free roof assessment;
• prepare quotes, scopes of work and fixed price estimates;
• schedule, carry out, supervise and complete roofing work;
• order materials and register manufacturer product warranties in your name;
• invoice you and manage payments, including recovering overdue amounts;
• keep records of the work performed, including before-and-after photos, for warranty, guarantee and health and safety purposes;
• comply with our obligations under the Building Act 2004, Health and Safety at Work Act 2015, tax law and other legislation;
• respond to questions, complaints or warranty claims after a job is finished;
• improve our website, services and customer experience; and
• send you occasional updates or offers, where you have agreed to receive them.

We will not use your information for a purpose that is unrelated to the reason we collected it, unless you agree or the law allows it.

Using your project photos

We photograph roofs before, during and after work as a standard part of our record keeping. We may also wish to use these photos on our website, in our project gallery, on social media or in marketing material. Where we do, we will not publish your name or street address without your permission, and we will remove any photo of your property from our marketing on request. Just email us at info@qrcroofing.co.nz.

Who we share it with

We do not sell your personal information. We may share it with:

• Our team and subcontractors — the roofers, painters, scaffolders and other trades carrying out your job, so they can access the site and complete the work.
• Suppliers and manufacturers — where a product warranty needs to be registered in your name, or a warranty claim needs to be made.
• Service providers — including our website host, email provider, cloud storage provider, accounting and job management software, and payment processors. These providers only handle your information to provide services to us.
• Professional advisers — our accountant, insurer, or lawyer where reasonably required.
• Debt collection agencies and credit reporters — if an account remains unpaid after we have followed up with you.
• Government agencies and other parties — where disclosure is required or authorised by law, or is necessary to prevent a serious threat to someone's health or safety.

Where you have engaged us through an insurer, property manager, body corporate or building company, we will share job-related information with them as needed to complete and invoice for the work.

Storage, security and overseas hosting

We store personal information in our job management, accounting and email systems, and in physical files at our Albany office. We take reasonable steps to protect it from loss, misuse, unauthorised access, disclosure or alteration, including access controls, passwords and secure devices.

Some of our providers store data on servers located outside New Zealand, including in Australia, the United States and the European Union. We take reasonable steps to ensure these providers protect your information with safeguards comparable to those required under the Privacy Act 2020.

No system is completely secure. If a privacy breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as required by law.

How long we keep it

We keep personal information only as long as we need it for the purposes described above, or as long as the law requires. In practice:

• Enquiries that do not proceed to a quote are generally deleted within 24 months.
• Job and warranty records are kept for at least 10 years, because implied warranties under the Building Act 2004 and defect claims can arise within that period.
• Financial and tax records are kept for at least 7 years, as required by the Inland Revenue Department.

After that, we securely delete or destroy the information.

Cookies and website analytics

Our website uses cookies — small text files stored on your device — to make the site work properly and to help us understand how visitors use it. We may use analytics tools such as Google Analytics, which collect aggregated information about page views, session length and traffic sources.

You can disable or delete cookies through your browser settings. Some parts of the site may not work correctly if you do.

Marketing and how to opt out

If you have asked to hear from us, or you are an existing customer, we may send you occasional emails about our services, seasonal roof maintenance reminders or offers. Every marketing email includes an unsubscribe link, and you can also ask us to stop at any time by emailing info@qrcroofing.co.nz or calling 022 489 2719. We comply with the Unsolicited Electronic Messages Act 2007.

Your rights: access and correction

Under the Privacy Act 2020 you have the right to:

• ask what personal information we hold about you and request a copy of it; and
• ask us to correct information you believe is wrong.

To make a request, email info@qrcroofing.co.nz or write to us at 8c/2 Henry Rose Place, Albany, Auckland 0632. We may ask you to verify your identity. We will respond as soon as we reasonably can, and within 20 working days.

There is normally no charge. If a request is unusually large or takes significant time, we may charge a reasonable fee and will tell you before we do. In limited circumstances the Privacy Act allows us to withhold information — if that applies, we will explain why.

If we do not agree to correct information, you can ask us to attach a statement of the correction you sought, and we will keep that statement with the information.
